This Privacy Policy explains how we collect, use, store and disclose personal information through kbeautyclinic.co.nz, our newsletter and website enquiries. We handle personal information in accordance with the New Zealand Privacy Act 2020 and, where health information is involved, the Health Information Privacy Code 2020.

2. Information we collect
- Contact form information: your name, email address, optional phone number and the message you submit.
- Newsletter information: your email address, birthday or date of birth, subscription status and communication preferences.
- Email engagement information that MailerLite may record, such as delivery, opens, clicks and unsubscribes.
- Website and technical information, such as IP address, browser or device type, pages viewed, referring page, dates and times, cookies, tags and similar identifiers.
- Any other personal information you voluntarily include in an enquiry. Please do not include sensitive health information in the general website contact form unless it is reasonably necessary for your enquiry.
3. How we collect information
We collect information directly from you when you submit the contact form, subscribe to our newsletter, communicate with us or otherwise use the website. We may also collect technical information automatically through our website, cookies and service providers. Where we receive personal information from another source, we will comply with the notification requirements of the Privacy Act unless an exception applies.
4. How we use information
- to receive, assess and respond to your website enquiry;
- to send clinic news, educational content, service updates, promotions and birthday coupons when you have subscribed;
- to administer subscriptions, honour unsubscribe requests and keep our mailing list accurate;
- to operate, protect, troubleshoot and improve our website and communications;
- to meet legal, regulatory, accounting, dispute-resolution and record-keeping requirements; and
- for another purpose you authorise or that is permitted by law.
5. Contact form and newsletter are separate
Submitting an enquiry does not add you to our newsletter. We use contact-form information to respond to the enquiry. We send marketing emails only where you have separately subscribed or another lawful basis applies. You can unsubscribe at any time using the link in our emails or by contacting us. Unsubscribing does not prevent necessary replies or service communications.
6. Birthday information
If you provide your birthday or date of birth through our newsletter form, we use it to send birthday-related offers or coupons and to administer that programme. Providing birthday information is optional unless the form clearly states otherwise. We do not use it to make decisions about treatment or eligibility.
7. Cookies and website services
Our website may use cookies, tags and similar technologies for operation, security, embedded content and measurement. Current website services include MailerLite forms or popups, Google Tag Manager and embedded Google Maps. Those providers may receive technical information and may process it under their own privacy terms. You can control cookies through your browser, although disabling them may affect website functions. If we add non-essential advertising or analytics tools, we will update this policy and provide any notice or choice required by law.
8. When we share information
- with authorised staff and contractors who need it to answer enquiries or administer communications;
- with website hosting, security, forms, email, newsletter, IT and professional service providers;
- with regulators, courts, law enforcement or other persons where disclosure is required or permitted by law; and
- with another party involved in a proposed or completed business transfer, subject to appropriate safeguards.
9. Overseas processing
MailerLite, Google and other technology providers may store or process information outside New Zealand. Where we disclose personal information overseas, we take reasonable steps to comply with information privacy principle 12, including by using comparable protections, contractual safeguards, informed authorisation or another lawful basis. A provider acting only as our storage or processing agent may process information overseas on our behalf.
10. Security and privacy breaches
We use reasonable administrative, technical and physical safeguards to protect personal information from loss, unauthorised access, disclosure, alteration or misuse. No internet service is completely secure. If a privacy breach is likely to cause serious harm, we will notify the Office of the Privacy Commissioner and affected individuals as required by law.
11. Retention
We retain personal information only for as long as reasonably required for the purpose for which it was collected and for legal, tax, accounting, complaint and security requirements. Contact-form information is kept only as long as reasonably needed to respond and manage any related issue. Newsletter information is kept while you remain subscribed and for a reasonable period afterwards to record your preferences or unsubscribe request. We then delete or de-identify information where appropriate.
12. Access and correction
You may ask for access to personal information we hold about you and request correction if it is inaccurate or incomplete. Contact our Privacy Officer at info@kbeautyclinic.co.nz. We may verify your identity and will respond in accordance with New Zealand privacy law.
13. Changes
We may update this policy when our website, services, providers or legal obligations change. The current version and its effective date will be published on this page.
